Privacy policy
Last updated: 29 September 2026.
This policy explains how Web Development Experts Pty Ltd (“we”, “us”) handles personal information. We run the Weekly Car Rental website (weeklycarrental.com.au) and the Weekly Car Rental software at https://app.weeklycarrental.com.au.
We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Who this policy covers
- People who visit our website or send us a form (for example the demo form, the driver enquiry form or the support form).
- Rental operators who use our software, and their staff.
- Drivers (renters) whose details an operator puts into our software, or who use an operator’s booking page, signing page or driver portal.
2. What we collect on the website
Demo form
Your name, phone number, email, number of cars, city, how you manage your fleet today, and any message you send. We may also record which page or ad brought you to us (for example campaign details in the web address).
Driver enquiry form
If you are a driver looking for a rental car in Melbourne, we collect your name, mobile number, email, the rideshare platform you drive for, your licence type, how many years you have held a licence, whether you have Safe Transport Victoria accreditation, when you need a car, your suburb and your consent to share your details.
We share driver enquiries with rental operators in Melbourne. We do not own or rent cars. When you send the driver enquiry form, you agree that we can pass your details to rental operators in Melbourne who may have a car for you. Each operator then handles your information under its own privacy policy. We do not charge drivers for this.
Support form
If you ask us for help, we collect your name, business name, mobile number, email, the topic, how urgent it is and your message.
Analytics, Meta Pixel and cookies
We use Google Analytics to understand how people use the website. We use the Meta Pixel to measure our Facebook and Instagram ads and to show ads to people who visited our website. These tools use cookies and similar technology. They collect information such as your IP address, device and browser type, pages viewed and actions taken (for example sending a form).
You can block or delete cookies in your browser settings. You can change your ad settings in your Meta account. Some parts of the website may not work as expected if you block cookies.
3. What we collect in the software
Operator account data
Business name, ABN, contact details, staff names and emails, login details, billing details and records of how the account is used (including an audit log of actions taken).
Driver data entered by operators
Operators use the software to manage their drivers. Depending on how an operator uses it, the software may hold:
- Name, contact details, date of birth, address and emergency contact.
- Driver licence details and images of licence and ID documents.
- Taxi or rideshare accreditation details.
- Signatures on rental agreements and other documents.
- Photos of the car taken at handover and return.
- Payment records, bank account or card details for Direct Debit (held by the payment processor), bond records, charges, fines and toll records.
- Accident and damage claim details.
- Blacklist and defaulter check entries.
- Location and mileage data from GPS trackers, if the operator uses GPS tracking.
- Messages sent by SMS and email.
4. Operators are responsible for their drivers’ data
When an operator puts driver information into the software, the operator decides what to collect and why. We hold and process that information on the operator’s behalf, to run the software for them.
The operator is responsible for:
- Telling their drivers what information they collect and why.
- Having their drivers’ consent, or another lawful basis, to collect and upload that information.
- Telling drivers about GPS tracking where the law requires it.
- Making sure blacklist and defaulter check entries are accurate and fair.
If you are a driver and have a question about your data, contact the operator you rent from first. We will help the operator answer your request.
5. How we use personal information
- To reply to your demo request, enquiry or support request, and to set up and support your account.
- To pass driver enquiries to rental operators in Melbourne.
- To run the software, including sending SMS and email for operators, processing payments and showing GPS data.
- To bill operators for their use of the software. We charge operators only. We never charge drivers.
- To improve the website and software, and measure our ads.
- To keep the software secure and to meet our legal obligations.
- To send you news about the software, if you agree. See section 11.
We do not sell personal information.
6. Who we share it with
We share personal information only as needed to run the website and software, with:
- Rental operators in Melbourne (driver enquiries only, see section 2).
- Our payment processor, Pay Advantage, for Direct Debit and PayID collection.
- SMS and email providers that send messages for us and for operators.
- GPS tracking providers (WhatsGPS and IOP GPS), when an operator connects their own trackers to the software.
- Our hosting and cloud providers.
- Analytics and ad providers (Google and Meta) for website data.
- Professional advisers, and government bodies or courts where the law requires it.
Operators using the shared defaulter check can see limited information about drivers flagged by other operators, as set out in our software terms.
7. Where data is stored and overseas disclosure
Website and software data is stored on cloud servers. We aim to keep data in Australia. Some service providers (for example email, SMS and analytics providers) may process data overseas.
When a provider handles personal information outside Australia, we take reasonable steps to make sure it protects that information in line with the Australian Privacy Principles. Google and Meta, for example, may process website analytics and ad data in the United States and other countries.
8. How long we keep it
We keep personal information only as long as we need it for the purposes above or as the law requires. Operator and driver data is kept while the operator’s account is active.
When an operator closes their account, they can export their data for 30 days after closing. We then delete it within 90 days of the account closing, except records we must keep by law (for example tax and billing records).
Driver enquiries and support requests are kept only as long as we need them to deal with the enquiry and to keep business records.
9. How we protect it
- Data is sent over encrypted connections (HTTPS).
- Staff accounts have roles and permissions, so each person sees only what they need.
- An audit log records who did what in each account.
- Access to account data is limited to staff who need it to run and support the software.
No system is perfectly secure. If you think your account has been accessed without permission, tell us straight away.
10. Data breaches
If we have a data breach that is likely to cause serious harm, we will follow the Notifiable Data Breaches scheme. That means we assess it quickly, tell the people affected and tell the Office of the Australian Information Commissioner (OAIC). If the breach involves an operator’s driver data, we will also tell the operator.
11. Marketing messages
We send marketing emails or SMS only with your consent, as the Spam Act 2003 requires. Every marketing email and SMS tells you who sent it and has a simple way to unsubscribe. We act on unsubscribe requests within 5 business days.
Messages operators send to their drivers through the software (for example payment reminders) come from the operator. The operator is responsible for them.
12. Access and correction
You can ask to see the personal information we hold about you, or ask us to correct it. Email support@weeklycarrental.com.au. We may need to check your identity first. We will reply within a reasonable time, usually 30 days. If we cannot give you access, we will tell you why.
13. Complaints
If you have a concern about how we handled your personal information, email support@weeklycarrental.com.au or call 0489 200 222. We will look into it and reply in writing, usually within 30 days.
If you are not happy with our reply, you can complain to the OAIC:
- Website: oaic.gov.au
- Phone: 1300 363 992
- Post: GPO Box 5288, Sydney NSW 2001
